Management Office Intern
Department: Management
Location: Shanghai
Duration: minimum 4 months, 3–4 days per week
Position Overview
1. Meeting Support:
Provide support for government meetings and other visitor meetings in the office: (coordinate meeting room reservations, meeting arrangements, name-plate preparation & placement, water distribution, etc.)
2. Group's Quarterly Meetings Support:
Assist in the pre-meeting and post-meeting preparations for the Group's Quarterly meetings and the Hong Kong meeting.
3. Document Processing and Circulation Support:
Responsible for printing, copying, scanning and archiving internal and external documents. Assist in document signing and delivery.
4. Expense Checking:
Checked and communicated with the president's driver expenses, other travel expenses and insurance expenses; liaise with finance & vendors as needed.
5. Event Support:
Support Chairman’s China visit, including on-site coordination and administrative concierge services.
6. Content Creation Support:
Copywriting optimization, proofreading and polishing the president's written interview drafts and monthly reports; Video content production, editing video materials for the president's event interview.
7. Material Archiving:
All photos, videos and articles of the president's activities and interviews need to be classified and archived.
Job Requirements
1. Bachelor's degree or above, major not limited (administrative management, secretarial studies preferred).
2. Proficient in MS Office and office equipment (Master one editing tool such as PR or CapCut.).
3. Pay attention to details, have a sense of confidentiality and multi-tasking capabilities.
4. Good communication skills and execution ability, able to accept multiple revisions and iterations of content creation.
